Refund and cancellation policy

This policy covers professional audit engagements and related reviews commissioned from Server Valley Cloud. It does not cover software subscriptions, physical goods, or courses—we do not sell those.

Eligibility

Refunds apply to fees paid under a signed engagement letter. Website inquiries and unpaid fee quotes create no refund obligation.

Timeframe

Refund requests must be emailed to hello@servervalleycloud.digital within 14 days of the event giving rise to the request (for example, cancellation confirmation or disputed invoice date), unless the engagement letter states a different window.

Full refund

A full refund of amounts paid is available if we cancel the engagement before fieldwork begins for reasons within our control (for example, conflict of interest discovered after signing), or if you cancel in writing more than 15 business days before the scheduled fieldwork start and no substantial preparatory work has been delivered.

Partial refund

If you cancel between 6 and 15 business days before fieldwork start, we retain the deposit (typically 40%) to cover scoping and document-room setup already performed, and refund any excess prepaid. If fieldwork has started, fees for completed phases (scoping, fieldwork days delivered, draft reporting) are earned; unused prepaid amounts for undelivered phases may be refunded on a pro-rata basis.

Non-refundable items

• Deposits once fieldwork has commenced
• Fees for completed findings workshops or final reports already delivered
• Third-party costs expressly approved by you (for example, certified translations or room hire) once incurred
• Time spent waiting on delayed document access when we reserved staff calendars as agreed

Refund process

Email the engagement reference, reason for the request, and payment details used. We confirm receipt within three business days and decide within ten business days after reviewing the engagement file.

Processing time and method

Approved refunds are returned via the original payment method within 14 business days of approval. Bank transfer timelines may vary by institution.

Cancellation and rescheduling

Either party may propose a reschedule once without penalty if notice is given at least 10 business days before fieldwork and both parties agree new dates in writing. Later reschedules may incur a rescheduling fee equal to two fieldwork days at the day rate stated in the letter.

Deposits

The standard 40% deposit reserves dates. It becomes non-refundable once fieldwork begins or if you cancel inside the windows described above.

No-shows

If agreed interviewees or the document liaison fail to attend scheduled sessions without 24 hours’ notice, those sessions are billed as delivered. Repeated no-shows may trigger termination for cause with deposit retained.

Work already started

Draft findings, working papers, and interim notes remain our property until final fees for completed phases are paid. We may withhold final delivery until settled invoices are cleared.

Exceptions

If a force majeure event (severe weather affecting Penghu or Taipei travel, government order, or prolonged outage) prevents fieldwork, we will offer rescheduling at no extra fee or a partial refund of prepaid unused phases by mutual agreement.
